Turn a sales call into a proposal draft in 10 minutes with AI

Record the discovery call, let AI pull out the client’s goals, budget and scope, and get a proposal draft and a polished document in about 10 minutes.

The short answer

Record and transcribe your discovery call (Fireflies, or the transcript built into Zoom, Teams or Google Meet), paste the transcript into a ChatGPT project that knows your services and pricing, and get a structured proposal draft back. Paste that into Gamma to turn it into a clean, branded document or deck. Most of the work is a one-off setup; after that each proposal takes about 10 minutes plus your review.

What does this automation do?

It removes the blank page. After a discovery call, you normally spend an hour or more turning scribbled notes into a proposal. Here, the transcript does the remembering, AI does the first draft in your structure and voice, and you spend your time where it matters: checking scope, price and promises.

What do you need before you start?

  • A way to transcribe calls: Fireflies (free plan available), or the transcript feature in Zoom, Teams or Google Meet
  • A ChatGPT account (free works)
  • Optional: a Gamma account to turn the text into a polished document
  • Your services, packages and prices written down

How do I set it up?

Step 1: Write your proposal building blocks once

Create a document with: your standard proposal headings, a short “about me”, your packages with prices, your standard terms (payment terms, what’s out of scope, how changes are charged), and two past proposals you were happy with. This is what makes the AI write like you rather than like everyone else.

Step 2: Set up a ChatGPT project with your services and pricing

Create a ChatGPT Project called “Proposals”. Upload the building-blocks document and paste the prompt below into the project instructions. If your plan doesn’t have Projects, keep the prompt in a note and paste it with each transcript.

Step 3: Tell the client you are recording, then record the call

Add a line to your calendar invite (“I record and transcribe calls so I can focus on you; tell me if you’d rather I didn’t”), and say it again at the start. Then let Fireflies join, or start your meeting tool’s transcript.

Step 4: Export the transcript

After the call, download or copy the transcript (in Fireflies, open the meeting and copy or download the transcript; in Zoom, Teams or Meet, find it in the recording or the meeting chat). Remove small talk and anything you agreed was off the record.

Step 5: Generate the proposal draft

Paste the transcript into a new chat inside your project with the line: “Draft the proposal for this call.” You’ll get the proposal plus a list of open questions.

Step 6: Check scope, price and promises line by line

This is the step AI can’t do for you. Confirm every deliverable was actually discussed, the timeline is realistic, the price comes from your packages, and nothing promises results you can’t control. Answer the open questions, or send them to the client.

Step 7: Turn the draft into a polished document with Gamma

In Gamma, choose Create new › Paste in text, paste the approved draft, pick “Document” (or “Presentation” for a deck) and apply your brand theme. Export as PDF or share the link. On the free plan, Gamma’s one-off credits cover several documents; after that you’ll need Plus or another tool.

Step 8 (optional): Automate the hand-off with Zapier

If you send several proposals a week, you can have Zapier create the draft automatically when a Fireflies transcript is ready (outline below). You still review it before sending.

The copy-paste prompt

You are my proposal writer. I'm [NAME], a [ROLE] helping [CLIENT TYPE] with
[OUTCOME]. Use the uploaded building blocks for my packages, prices, terms and
writing style.

From the call transcript I give you, write a proposal with these sections:
1. Your situation (their words where possible, 3-5 bullets)
2. What you want to achieve (measurable goals they stated)
3. My recommended approach (phases, each with deliverables)
4. Timeline
5. Investment: choose ONE of my packages (or a combination) and explain why
in one sentence. Use my prices exactly. Never invent a price or discount.
6. What's not included
7. Next steps

Rules:
- British English, plain and confident, no hype, no "leverage" or "synergy".
- Only include deliverables and goals actually discussed in the call.
- Do not promise results (e.g. "will increase sales by 30%").
- After the proposal, list OPEN QUESTIONS: anything unclear or missing
  (budget, decision-maker, deadline, scope edges).

Zapier template outline (optional)

Multi-step Zaps need a paid Zapier plan (Professional from $19.99 a month billed yearly). Fireflies also connects to Make if you prefer.

What UK rules apply?

  • Transparency when recording. UK GDPR requires you to tell people what personal data you collect and why. Telling clients before you record or transcribe, and explaining how long you keep recordings, covers this (ICO).
  • Retention. Decide how long you keep recordings and transcripts (for example, delete 90 days after the proposal is decided) and set your tools to match.
  • Confidentiality. Your NDA may restrict where client information goes. If in doubt, anonymise the transcript before pasting it into an AI tool.
  • Contracts. A proposal the client signs can become your contract. Make sure payment terms and what’s out of scope are clear; for business clients, late payment law gives you extra rights (see our invoice chasing guide).

What can go wrong?

  • Scope creep in writing. AI tends to include every idea mentioned in passing. Cut anything you didn’t agree to deliver.
  • Generic copy. If it sounds like everyone else, your building blocks are too thin. Add past proposals and phrases you actually use.
  • Wrong numbers. Check every price and total by hand.
  • Recording surprises. Bots joining calls unannounced annoy clients. Always say it first.

Frequently asked questions

Do I need the client’s permission to record a call in the UK?

Under UK GDPR you must be transparent: tell people you’re recording or transcribing, why, and what happens to the recording, before you start. Many consultants also put it in the calendar invite. If someone objects, take notes instead.

Is it safe to put client information into ChatGPT?

Check your NDA and contract first. Remove anything you don’t need (personal details, financials that aren’t relevant), turn off “Improve the model for everyone” in ChatGPT’s data controls, or use a business plan where data isn’t used for training by default.

Can AI price the work for me?

No. Give it your actual packages and day rate and let it choose between them and explain the choice. Never let it invent a price, and always check the maths.

Do I need Fireflies if my video tool already transcribes?

Not necessarily. Zoom, Microsoft Teams and Google Meet all offer transcripts on some plans. Fireflies helps if you use several meeting tools, take phone calls, or want automatic summaries and integrations.

Why use Gamma rather than just a Word document?

You don’t have to. Gamma is quick for making a draft look professional, with layouts, headings and your brand colours, and it exports to PDF or PowerPoint. A good Word or Google Docs template works just as well.
